SUBMISSION GUIDELINES • 3rd ANNUAL CONFERENCE
JANUARY 4-7, 2012 • Louisville, KY

Please be advised that you must be a current member of JEN in order to submit an application.
Completing the JEN Online Application Form is a requirement in order to submit materials related to presenting at the 2012 Conference with the exception of the technology session as below (See TI:ME Concurrent Conference Information below). Please be advised materials will not be accepted in any other form and/or after the deadline has passed. In an effort to assist you in this process, we have created GUIDELINES (printed in detail below) specific to what you need to do in order to prepare your materials in advance to complete and submit your application successfully. Each category of application requires slightly different information, so please be certain to follow the Application Guidelines that are specific to the type of application you wish to submit, i.e. clinic proposal, pro ensemble performance, and/or school/community ensemble performance. It is recommended you print this page for reference as you prepare your materials.
After log in to the website, JEN members may click below on the appropriate application desired in order to submit materials.
Applications are encouraged in a diversity of styles, genres, topics including but not limited to:
- World Music Styles (Brazilian, Cuban,Cajun…..)
- Contemporary Styles (current combinations with funk, hiphop, classical, rock…)
- Music Theory (Substitution techniques/harmony, chord/scale theories, rhythm/ meter, melodic styles)
- Technology (using software/ hardware as tools for teaching/ learning/ creating )
- Music Industry (promotions, career building, labels/distribution, presenting, management, publications, media..)
- Miscellaneous (social issues – current and historic: gender, race, location) and the like.
- Research Topics related to all of the above
Please note: No more than two applications may be submitted by an individual presenter.
In the event you exceed the number of allowed submissions, only the initial two will be accepted. Applications from those not presenting in 2011 will be prioritized for consideration.
Upon clicking SUBMIT, please do NOT disturb your computer while the application is processing. Doing so will most likely result in an incomplete application or your application NOT being successfully submitted. Once the application has been processed by the system, you should receive a confirmation notification on the screen indicating that your application has been registered. If you do not receive a confirmation email, please let us know immediately and we can check toverify receipt of your submission. Should you have any issue while submitting your application, please contact us immediately at info@jazzednet.org or call the number listed on the Home Page and someone will respond to assist you in this endeavor.
The most common problem we have experienced in the past is one of audio files being too large to upload. Please be certain to follow the size restrictions regarding your audio submissions, and note the application is only set to receive files in mp3 format. Any format will be automatically rejected by the system.
TIMELINE
Stage One:
- Applications will be taken online through midnight, EDT, June 15th, 2011.
- Applications will be reviewed between June 15th and August 15th, 2011.
- All applicants will be notified between August 15th and September 1st, 2011.
- Applicants must accept the invitation no later than September 15th, 2011.
- Details may be found in the Guidelines below appropriate to the specific type of application you are submitting.
Stage Two:
Request for Additional Information will take place immediately after announcement of acceptance and confirmation to appear late September. Should you receive an invitation to present or perform, it is at this time you will be asked to submit a Program Bio Request, Printable Photo and other materials for publication, A/V & Backline requests, Sponsor Listings, Stage Plot, etc. Your attention to this detail will ensure we have the materials we need to place your photo and bio online to promote your appearance at the conference.
Stage Three:
Request for Credential Information will take place in between October 1st and November 15th, 2011. Accepted performers and presenters will be sent a credential form to complete this very important step in the process to ensure that you and the members of your ensemble have Registration Credentials upon arrival to the conference. Anyone attending the conference is required to have a registration badge/credential to move freely about the conference.

Clinic Application Guidelines:

- Clinic Title
- Designate the format of your clinic: i.e. lecture, panel discussion
- Designate the Type of clinic you will be presenting: i.e. improvisation, arranging, composition, specific instrument, vocal, etc.
- UPLOAD a Clinic Outline: Proposals should be double-spaced, font size 12 pt., maximum one page/minimum 100 words
- Letter/bio detailing where you have presented in the past: Maximum of 100 words, with optional web site link being provided.
- Acceptance of Terms – Hotel
- Acceptance of Terms – Expense to be borne by individual or sponsoring organization
- Acceptance of Terms – permission to use name and likeness in promotion of the event and for future conference and JEN events

- Acceptance of Terms – permission to use name and likeness in promotion of the event and for future conference and JEN events

2012 TI:ME Conference joins forces with the Jazz Education Network!
JEN is proud to announce that TI:ME (Technology in Music Education) will be holding their 2012 National TI:ME Conference in a collaborative partnership with the Jazz Education Network 2012 Conference. To download the proposal form for technology proposals, click here: TIMECallforProposals2012 Please note that there are two tabs in the excel file to read and that the form is due June 15th. Due to the nature of this year's professional collaboration, proposals that address technology topics in context of jazz education materials/curriculum are strongly encouraged. In addition, proposals for specialized 90 minute training session in the computer lab are encouraged. These sessions will include "Bring your own laptop" sessions for the attendees.
